3 Gemini Integrations That Made My Daily Workflow Faster

Using a smartphone can get surprisingly frustrating when every task requires jumping between different apps.

Email in Gmail, appointments in Calendar, documents in Drive, notes in Keep—it’s easy to spend more time switching between apps than actually getting things done.

That changed for me after I started connecting Google Gemini with the apps I use every day.

Gemini is useful as a standalone chatbot, but its real value shows up when it can work with other apps and handle tasks using the information already stored there. Instead of manually searching, copying, pasting, and switching between screens, I can ask Gemini to find information, organize it, or take care of routine tasks for me.

These are the three Gemini integrations that have made the biggest difference to my daily workflow.

1. Gemini + Gmail: Email Became Much Less of a Chore

Summarizing long email threads and drafting replies

If you had asked me five years ago whether I would rely on an AI agent to manage parts of my Gmail workflow, I probably would have laughed.

Today, it’s one of the Gemini features I use most.

Long email threads are particularly useful for this. When an email conversation contains dozens of messages, finding one specific detail can mean scrolling through the entire thread and trying to remember where something was mentioned.

I used to spend 20 to 25 minutes doing exactly that.

Now I can simply ask Gemini to find the information I need.

For example, if I need to know what was agreed upon earlier in an email conversation, Gemini can summarize the thread or pull out the relevant details without requiring me to read every message again.

The same applies when replying to emails.

When I have a large number of emails to answer, Gemini can help draft replies and new messages based on the existing context. That means I spend less time writing repetitive responses and more time reviewing what actually matters.

What I particularly like is that the generated response can take the tone and context of the existing conversation into account. It feels much more useful than starting every reply from a blank screen.

How to connect Gemini with Gmail

To enable the integration:

  1. Open Gemini settings.
  2. Go to Connected Apps.
  3. Turn on Google Workspace.
  4. Once enabled, use the Gemini option from Gmail to work with your email.

With the integration enabled, Gemini can become much more than a separate chatbot sitting beside your inbox. It becomes a way to search, summarize, and work with information already inside your email.


2. Gemini + Google Keep: Turning Research Into Organized Notes

Creating lists without constantly switching apps

I rely heavily on Google Keep for grocery lists, meeting notes, travel planning, reminders, and random ideas I don’t want to forget.

The problem used to be the process of creating those lists.

When researching something, I might move between YouTube, Google Maps, websites, and Keep several times just to build one useful list.

For example, imagine I’m watching a restaurant vlog on YouTube while planning a vacation. Previously, I would have to pause the video, remember the restaurant name, open Keep, find the right note, and add it manually.

With Gemini connected to Keep, I can make the process much simpler.

I can ask Gemini to create a “vacation restaurant list” and add the restaurant names I want to remember.

It becomes even more useful when I return to my research days later.

For example, I can ask:

Find in the vacation restaurant list in Keep if I added Bomras to the list. If not, add it to the list.

Gemini can then check the note and either confirm that the restaurant is already there or add it if it is missing.

The same approach works for grocery lists, reminders, travel plans, meeting notes, and other information I regularly store in Keep.

Gemini voice input makes note-taking easier

I also use Gemini’s voice capabilities with Google Keep.

Sometimes I have a lot of thoughts to get down quickly, but speaking naturally doesn’t produce a perfectly organized note. Traditionally, that meant going back later to clean up the text, separate ideas, and format everything.

Gemini can take those rough voice inputs and turn them into more structured notes, reducing the amount of editing required afterward.

That makes Keep more useful when I need to capture information quickly rather than carefully type everything out.

Gemini also works with other note-taking apps

Google Keep isn’t the only note-taking app that can work with Gemini.

The supported apps listed in the original workflow include:

Building databases and finding information later

Gemini also connects with Google Docs, Google Sheets, and Google Drive through Google Workspace.

I don’t necessarily use it to write entire documents from scratch. Where I find it much more useful is searching, summarizing, organizing, and cross-referencing information stored in Drive.

It can also work with different document formats, including PDFs stored in Google Drive.

Using Gemini to review documents

I recently had a lease agreement stored as a PDF in my Google Drive.

Before signing it, I asked Gemini to look through the agreement and identify provisions that could be unfavorable to me as a lessee.

Instead of manually reading through the entire document and trying to identify every potential issue, Gemini summarized the agreement and highlighted conditions that I should pay attention to before signing.

The same workflow can be useful for other documents stored in Drive, including meeting notes, records from Google Meet calls, and voice memos.

Of course, for something important such as a legal agreement, I would still treat AI analysis as a starting point rather than a substitute for professional legal advice.

Building a database from a physical collection

One of the most useful experiments I’ve done with Gemini involved my collection of around 400 physical video games.

I used Gemini to scan the games in batches, identify details such as the title, platform, and publisher, and organize the information into a Google Sheet.

Typing all those titles manually would have taken considerably longer. The same process can also be applied to other collections or sets of documents.

I’ve used the idea for DVDs, books, and even my pen collection.

The possibilities go well beyond personal collections. You could use a similar workflow to organize:

  • Bills
  • Legal documents
  • Sports cards
  • Product inventories
  • Receipts
  • Business records
  • Other physical items that need cataloging

Once the information is in a Google Sheet, the database becomes much more useful because Gemini can access it and answer questions based on the information you’ve already organized.

Cross-referencing a database before making a purchase

The main reason I created the video game database was to make future searches easier.

If I’m about to buy a game, for example, I can ask Gemini to check my Google Sheet and tell me whether I already own it.

The same concept works for sports cards.

Imagine you’ve built a database of your collection and want to know whether you already own a Shohei Ohtani rookie card. Gemini can search the information in your Google Sheet and tell you whether the card appears in your collection.

If you’ve also attached images to the database, those can provide another reference point when you’re trying to identify items.

That’s where I find Gemini’s cross-referencing capabilities particularly useful. Instead of repeatedly opening spreadsheets and searching through rows manually, I can simply ask for the information I need.

Cross-referencing can also help with business work

This isn’t limited to personal projects.

Someone I know uses Gemini with a profit-and-loss spreadsheet to review information while making purchasing decisions for their business.

A lawyer friend also uses it to retrieve information from previous cases when researching precedent.

The underlying idea is the same: once information is organized and stored in a connected app, Gemini can help retrieve and compare it without requiring you to manually search through every file.


Gemini Isn’t Limited to Google’s Apps

It’s easy to assume that Gemini is mainly useful because it connects to Google’s own ecosystem, but that’s not the whole picture.

It also works with a range of third-party applications, including Otter.ai, WhatsApp, calendar apps, Spotify, SeatGeek, and others.

That broader app support makes Gemini more useful for people whose daily workflows aren’t entirely built around Google services.

Why Gemini’s App Integrations Matter

The biggest difference I’ve noticed isn’t Gemini’s ability to answer questions. It’s what happens when the AI can actually work with information stored in the apps I already use.

Gmail saves me from digging through long email conversations. Google Keep makes it easier to turn scattered research and voice notes into organized lists. Google Drive, Docs, and Sheets let me search and cross-reference information that would otherwise require manual work.

None of these tasks is particularly difficult. That’s precisely why they are good candidates for AI.

The time savings come from eliminating dozens of small steps: opening another app, searching for a file, copying information, checking a list, switching back, and typing everything manually.

That’s where Gemini has become genuinely useful in my daily workflow. Instead of simply giving me another place to ask questions, its app integrations let it work with the information I already have—and that can make routine tasks considerably faster.
